About the Role:
Providing assistance to the Head of Production and Production Executive across Comedy & Entertainment, providing general administrative support – raising & issuing contracts, archiving tapes, assisting with Productions and development team’s taster tapes, updating monthly schedules/ slates.
Providing effective and efficient admin support for the Comedy Production and Development team helping to ensure the department runs smoothly. You will be responsible for scheduling diaries, organising meetings with commissioners, production talent and screen talent, as well as hospitality and travel arrangements.
Assisting on development taster shoots at the request of Development Executives and staff. This includes coordinating and arranging all logistics of travel (i.e. car hire and train travel), hotels, crew hire, and providing petty cash.
Organising in house production events including, writer’s rooms, readthroughs and screenings.
Updating production schedules and keeping track of where productions stand.
Logging deliverable drives and making sure they are backed up with IT.
Provide support through the initial pre-production phase before a production team is in place including checking production talent availability and issuing deal memos.
Logging production documents as they come in from the production offices.
Acting as the point of contact for productions starting up – ensuring access to buildings, IT set up and welcome packs.
General post-production support as required.
To maintain and manage the diaries of the Head of Production(HOP) & Production Executive.
Provide admin support for the HOP & Production Executive – including typing documents, raising & issuing contracts, general correspondence, photocopying, binding, filing, and archiving.
Setting up & maintaining archive of Comedy & Entertainment development & production information for HOP & Production Exec.
Work with the department runner to ensure that clients and visitors are greeted professionally, and refreshments are provided as required.
Arrange meetings with commissioners, production talent & screen talent.
Arrange departmental meetings and prepare meeting packs as necessary.
Organise travel arrangements in the UK and overseas.
Field calls and deal with general telephone enquires that come through to the department.
Be responsible for data management including maintaining paper and electronic filing and archiving.
Assist the HOP and Production Executive in maintaining the General Development Cost. Manager in PMI, by consistently ensuring all expenditure is costed to the correct department.
Reconcile expenses of HOP’s and Production Exec’s credit card and keep a record of all expenditure.
Reconcile expenses for HOP and Production Executive.
Reconcile floats given out on development shoots.
Knowledge & Skill Requirements:
Proven experience working in a production role.
A strong knowledge and understanding of the Comedy & Entertainment genres and the production of such programmes.
A highly organised and flexible approach to work.
Excellent time management including the ability to prioritise workload.
Fully developed IT skills, including high proficiency in Word and Excel.
A proactive self-starter who is used to working on their own initiative.
Strong interpersonal skills: the ability to communicate confidently and clearly, both verbally and in writing, with both broadcaster and external contacts.
A team player with a willingness to take the necessary initiative to get the job done.
