Evolutions Post Production are looking for an energetic Receptionist to join their busy London facility. Evolutions is one of the largest independent post houses in London with over 50 edit, audio and grading suites at two central London sites.


Job Summary/Key focus of the role:

* To answer all calls and enquiries in an efficient, professional and timely manner.
* Welcome and direct all clients, staff and suppliers in a professional, welcoming and efficient manner.
* Undertake associated day to day tasks and administrative requirements

Responsibilities/Main activities of the role:
* Answering all incoming calls to the company in an efficient, polite and professional manner
* Taking messages when required and ensuring they are passed to the correct person quickly and efficiently
* Meeting, greeting and directing all clients, staff and suppliers in a welcoming and efficient way
* Maintaining a clean, tidy and quiet reception area
* Assisting clients with faxing, photocopying and e- mail
* Responding to client calls in the absence of a Runner
* Training temps and Runners on Reception as required
* Sorting and distributing post
* Ensuring company post for external posting is taken to post office by 1700 hours daily
* Keeping the Client Services Manager informed of any staff or client issues as applicable
* Monitoring all incoming and outgoing staff and visitors, ensuring the sign in/out procedure is followed
* Raising Purchase Orders for food/stationery/wine and order supplies, as required
* Regular liaison with the Client Services Assistant in order to obtain up to date industry knowledge of the function of the role to ensure consistent, efficient and professional workflow
* Entering client food account information onto scheduling system for invoicing
* Weekly checks to ensure all client information is present and correct and liaise with BookingsFinance accordingly
* Collating stock check information for review authorisation by the Client Services Manager

* Providing stationery requirements to Client Services Assistant on a weekly basis

* Providing requirements of Evolutions branded items, including water, to Client Services Assistant on a routine basis
* Updating notice boards with company information, jobs we have worked on, and any relevant news etc as required
* Booking meeting rooms as required
* Assisting Library staff with minor duties where possible as required
* Responding to ad hoc requests from the Client Services Manager as required

Job Specific Skills:
* Previous experience of working in a client service environment
* Exceptional communication and organizational skills
* Strong client liaison and relationship-building skills, with the ability to interact with people at all levels
* Excellent attention to detail
* Ability to multi task and be productive in a fast-paced demanding environment
* Ability to work autonomously and as part of a team
* Familiar with Microsoft Office applications and switchboard systems with the ability to train others accordingly
