Job title: Film Coordinator

Role Context

Over the last eighteen months, under new leadership, Creative Skillset has reshaped the organisation and refocused our strategy on the screen industries, clarifying our purpose and values.

 

Our mission is to take the lead in building an inclusive skills and talent development pipeline to maintain a world-beating UK screen sector.

 

We have a new industry Chair and our Board and Advisory Councils comprise committed senior industry leaders from across the screen industries – film, television, visual effects, animation and games – representing large and small organisations across the UK.

 

This role brings an exciting opportunity to support our new Film team in addressing key skills gaps and shortages in the screen workforce, as part of the BFI Future Film Skills Strategy.

 

 

 

Role Purpose

 

The Film Coordinator is a pivotal support role within Creative Skillset, to provide the highest standard of administrative and logistical service to this front-facing proactive team.

 

This role will provide a largely office-based anchor, ensuring that team activities are organized attentively and in a professional responsive manner, whilst also being the first point of contact for general enquiries relating to Film skills.

 

Reporting to the Head of Film, but supporting a wider group of colleagues, this person will be able to coordinate multiple workstreams and be adept at understanding when and how to prioritise workload effectively.

 

This is an exciting and challenging role for a dedicated business administrator who has a passion for and an understanding of the UK film industry.

 

 

Key responsibilities

 

  • Maintaining the smooth and efficient running of the Film team’s office, assessing priorities and taking the necessary actions to support the achievement of deadlines, in liaison with colleagues.

 

  • Managing the Head of Film’s diary and the Film team’s collective diary, prioritising, co-ordinating and scheduling meetings, identifying and tracking agreed action points.
  • Acting as the first point of general enquiry and contact (by phone and email) for the Film team, ensuring that all requests are managed promptly, effectively and courteously.
  • Maintaining efficient and transparent systems for Film team ‘housekeeping’, e.g. filing, archiving, correspondence and records.
  • Organising and maintaining the Film team contacts database to ensure it is accurate and up-to-date.
  • Assisting the Film team in setting up and organising internal and external meetings, including organising, preparing papers for and minuting Film Skills Council and Film Industry Training Board meetings, as well as Film team meetings.
  • Assisting the Film team in setting up and organising external events, such as roadshows and presentations to industry, including organising venues, catering, preparation of materials and liaising with guests.
  • Providing on-site support at some external meetings and events across the UK.
  • Assisting the Marketing & Communications team with the set-up, checking and maintenance of Film related web content and communication.
  • Assisting in organising travel and accommodation where required for Film team managers.
  • Assisting the Programme Manager and Programme Coordinator with regular Film fund reporting needs, where needed.

Essential skills and experience

 

  • Proven skills and experience in a similar role, setting up and running efficient office systems and procedures, with excellent attention to detail.
  • Experience of recording and producing accurate and concise meeting minutes.
  • Ability to work proactively in a small team, supporting the work of others, with a busy and varied workload.
  • Excellent customer service skills, including verbal and written communication, with the ability to converse effectively by phone, email and in person with a wide range of people.
  • Ability to handle confidential information with discretion, tact and sensitivity.
  • Excellent organisational skills including the ability to simultaneously work on a range of tasks and to be able to establish priorities so that deadlines are met.
  • Ability to anticipate, identify and solve problems to enable the smooth running of the team’s systems.
  • Ability to cope under the pressure of multiple workstreams and maintain a calm disposition.
  • Strong IT skills including the effective use of all MS Office products (Word, Excel, Outlook, PowerPoint); additional knowledge of website updating software and GIFTS are desirable.
  • An interest in and proficiency with a variety of social media platforms and abilty to help maintain an engaging and effective on-line prescence.
  • Proactive with the ability and willingness to learn about and understand the many areas of work that the Film team is involved in, as well as taking interest in the work of other teams including High-End TV, Careers and Vocational Training.
  • Knowledge of the UK screen industries, particularly Film production, is desirable.
